Cancellation Policy

NDIS Participants

In line with the NDIS Pricing Arrangements and Price Limits 2024–25, if a Short Notice Cancellation occurs, we are entitled to charge 100% of the agreed fee.

What is a Short Notice Cancellation?

A cancellation is considered “Short Notice” if the participant:

Does not attend the scheduled support within a reasonable time, or

Is not present at the agreed location and time, or

Provides less than two (2) clear business days’ notice.

Example:
If an appointment is booked for 10:00am on Tuesday, following a Monday public holiday, cancellation must occur before 10:00am on the previous Friday.

Waiving the Cancellation Fee

The cancellation fee will be waived if:

The session is rescheduled to another time (next appointment remains unchanged), or

The appointment time is filled by another client.

The cancellation fee will not be charged until the scheduled appointment time, allowing opportunity for rebooking.

Clients who prefer not to follow the cancellation policy may opt for a casual appointment list—this means no regular bookings, and appointments must be arranged individually.

Southern Psychologists reserves the right to cease service if cancellations become frequent or disruptive.

Extenuating circumstances may be considered on a case-by-case basis by the Director, Fiona Chappell (Principal Psychologist).

Private and Medicare Clients

Private and Medicare clients who are unable to attend their scheduled appointment will incur a $55.00 cancellation feeto cover administrative and preparation time.
If a client fails to attend without notice, the full session fee will apply.

Waiving the Cancellation Fee

The cancellation fee will be waived if:

The session is rescheduled within a reasonable timeframe, or

The session time is filled by another client.

The cancellation fee will only be charged on the day of the cancelled appointment, providing time to attempt rebooking.

Please note: Medicare rebates do not apply to cancellation fees.

Clients who do not wish to follow this policy may choose to be on the casual list, which means no ongoing bookings and appointments must be requested as needed.

Southern Psychologists reserves the right to discontinue services if cancellations are ongoing and impact service provision.

Extenuating circumstances may be considered at the discretion of the Director, Fiona Chappell (Principal Psychologist).
